2017-2018 Ad 2 Open Board Position Descriptions
Ad2 Vice President
With 20+ board members and many events each year, Ad 2 is seeking a strong team leader to help oversee committees and achieve Ad 2‘s membership, event, and organizational goals.
- Responsible for overseeing all Ad 2 events in partnership with the President.
- Checks in with Ad 2 committees monthly.
- Updates status spreadsheet with the President. Ensures that board matters are handled properly, including preparation of pre-meeting materials, committee functioning, and recruitment and orientation of new board members.
- Acts as President when President is absent.
- Responsible for documenting and saving all important processes and materials on the Ad 2 Google Drive to hand over to the next individual in this role.
- A three year commitment of Vice President, President, and finally, Past President.
- Represent Ad 2 at Ad 2’s Mid-Year Retreat, AdMerica, and other conferences.
- Attend all Ad Fed and Ad 2 Monthly Board Meetings and Ad Fed/Ad 2 Events.
- Responsible for documenting and saving all important processes and materials on the Ad 2 Google Drive to hand over to the next individual in this role.

Ad2 Design Chair
Ad 2 relies on graphics, emails, social posts, flyers, brochures, websites, and more to promote and run our events each month. We are seeking someone who is not just a designer, but a leader who can help bring a committee of designers and copywriters together to create great work.
- Owner of the Ad 2 brand look and feel.
- Uphold the established design standard of design for all Ad2 work, making sure any and all designs adhere to the brand guidelines of AdFed and Ad2.
- Build and lead a committee of designers, copywriters, and web developers.
- Direct designers and writers in creative concept and approach for each event.
- Assist the Communications and Event Chairs with event, website, and program copy.
- Assist in web development for signature Ad 2 events such as 32 Under 32.
- Present creative concepts to events chairs, Vice President, and President.
- Design miscellaneous collateral, such as a sponsorship one sheets or Ad 2 materials.
- Assign tasks to committee.
- Create digital and printed pieces for events in a collaborative and timely manner.
- Attend all Ad 2 Monthly Board Meetings and Ad 2 Events.
- Responsible for documenting and saving all important processes and materials on the Ad 2 Google Drive to hand over to the next individual in this role.

Ad2 Sponsorship Chair
Ad 2 runs on sponsorships and we need to find enough sponsorship dollars to cover each of our events. We are seeking someone who can build relationships with local businesses, isn’t afraid to make cold calls, and could consider them self to be a “salesman”.
- Work with event chairs, Vice President, and President of Ad 2 to gain sponsors that help offset ticket prices.
- Build a committee to support outreach and contact efforts.
- Cold call or contact agencies, businesses, and brands to support Ad 2.
- Collaborate with the AdFed sponsorship chair to divide workload and be sure that efforts aren’t being duplicated.
- Manage a sponsor list and build relationships.
- Check in to make sure sponsor benefits are being delivered and invoices are being paid.
- Assign tasks to committee.
- Sales experience prefered.

Ad2 Public Service Chair
Ad 2 is dedicated to giving back to our community through public service. We are seeking someone who can help us build relationships with local non-profits, plan a public service event, and engage our members with public service activities.
- Work with local nonprofits to develop lasting relationships.
- Identify volunteer opportunities for Ad 2 members (Past charities include: Cookie Cart, Polar Plunge, Second Harvest Heartland).
- Plan a larger event or creative campaign that supports one selected nonprofit.
- Help nonprofits fulfill marketing and advertising needs with Ad 2 support.
- Build a competition book to submit in Ad 2’s National Public Service Competition in March.
- Attend all Ad 2 Monthly Board Meetings and Ad 2 Events.

Ad2 Communication Co-Chair
The board is built, the events are planned, but how will our audience hear about us? Ad 2 is seeking someone with strong communication skills who can help develop a communication strategy and execute our communication plan to promote events and build our brand following online.
- Determine communications plan and strategy for the year, including a content calendar.
- Lead a Communications Committee and bring them in when content is needed.
- Review the creative brief given from Events Chairs, adding communication comments or suggestions if necessary. Brainstorm ideas for promoting events.
- Schedule and post content across Ad 2’s Twitter, Instagram, Snapchat, and Blog pages.
- Works with the Ad Fed Communications Chair to coordinate scheduling and communications for Ad 2 on Facebook, LinkedIn, emails and the AdFed website.
- Reviews blog content before posting.
- Attend all Ad 2 events to post live communication from the Ad 2 social channels.
- Build a competition book to submit in Ad 2’s National Communications Competition in March.
- Attend all Ad 2 Monthly Board Meetings and Ad 2 Events.

Ad2 Events / Programs Co-Chair
Ad 2 is an events organization that prides itself in hosting multiple events each year. We are somewhat flexible in what those may be, but in 2017, they included an Agency Crawl, a Freelance Panel, and a Social Media Panel. We are seeking someone who can coordinate multiple responsibilities as you dream, plan, and execute three different events throughout the year.
- Work with the Vice President and President of Ad 2 to determine three event topics and build the events calendar.
- Successfully manage an Events Committee, leading planning process and delegating responsibilities to ensure success of both individual events and organization
- Prepare a creative brief, including event name and description, as well as the plan for executing the event. Host an event kick-off.
- Find a venue and/or participating agencies.
- Develop and stay within budget, manage costs and revenues, only spending money as sponsor dollars roll in. Complete necessary forms working with the Treasurer.
- Assign sponsor duties to committee members and the sponsorship chair, helping to raise funds for events.
- Build and maintain successful partnerships with local businesses and agencies to facilitate ongoing support for organization.
- Identify community partnership opportunities.
- Build a competition book to submit in Ad 2’s National Events Competition in March.
- Attend all Ad 2 Monthly Board Meetings and Ad 2 Events.

Ad2 32 Under 32 Co-Chair
One of Ad 2‘s signature annual events, 32 Under 32 is about celebrating Minnesota’s advertising, marketing, creative and PR all-stars that rock at their jobs all before they can blow out 32 birthday candles. We are seeking a fearless leader who is ready to plan this award-show style event.
- Plan and coordinate one of Ad Fed’s / Ad 2’s signature events.
- Build and manage a committee, including volunteers for each event.
- Develop and manage a budget with the goal of maximum member benefit and minimum ticket price. Complete necessary forms with the Treasurer.
- Seek out sponsors to cover event costs & other expenses.
- Book an event venue and coordinate catering.
- Answer emails and questions in a timely manner.
- Learn from past years and don’t be afraid to evolve the program.
- Create promotional marketing material to be used prior to the event, during the event, and following the event.
- Bring new, fresh ideas to the overall theme and planning process.
- Research and coordinate a panel of judges.
- Follow nomination process and use best practices from over the last 4 years.
- Design and maintain an active website that houses nominations, sponsors and event information.
- Develop relationships with agencies, community businesses, local restaurants, and venues.

As one of Ad 2‘s signature events, the Women’s Leadership Panel draws in hundreds of women who are eager to learn and be inspired by women empowerment. We are seeking someone who is enthusiastic about coordinating and planning this fantastic annual event.
- Plan and coordinate one of Ad Fed’s / Ad 2’s signature events.
- Create, maintain, and lead a committee, including volunteers the event.
- Develop and manage a budget with the goal of maximum member benefit and minimal ticket price. Complete necessary forms working with the Treasurer.
- Seek sponsors to cover the cost of the event and other expenses.
- Seek high-profile speakers and moderator based on community input.
- Book an event venue and coordinate catering.

- Work with the Design Chair to create promotional marketing material to be used prior to the event, during the event, and following the event.

Ad2 Mentorship Co-Chair
Multiple times a year, students and those new in their advertising/marketing career gather around tables and in a speed-networking format they learn, as questions, and engage with mentors from various agencies. We are seeking someone who is passionate about planning events that benefit students and young professionals through networking and mentorship.
- Plan and coordinate multiple mentorship events throughout the year.
- Create and maintain a committee to help plan events.
- Focus events on student involvement, recruiting, and networking.
- Find a venue and event catering options, researching agencies/in-kind and event venues.
- Develop budgets for each program, manage costs and revenues, complete necessary forms working with the Treasurer.
- Seek out and secure 7-10 mentors per event.
- Learn from past years and don’t be afraid to evolve the program.
- Work with design chair to create promotional marketing material.

2017-2018 Ad Fed Open Board Position Descriptions
Ad Fed: The Show Tri-Chair
Position Tasks:
- Lead the planning for and execution of all aspects of The Show along with the other Tri-Chairs and The Show steering committee.
- Work with steering committee, Agency of Record, and all other ancillary committees and contacts as the lead and main resource for Ad Fed with The Show.
- Assist with the Call-for-Entries, judging weekend, invite delivery, award delivery.
- Work diligently with Secretary, Executive Director, and Executive Committee to implement all plans and execute.
- Assist in developing a reasonable budget for The Show.
- Manage costs and revenues to meet or exceed budget. Complete forms working with the Treasurer.
- Co-ordinate volunteers for day of set up and night of take down.
- Attend all meetings with Agency of Record and lead the relationship with and direction to the Agency of Record.
- Seek, develop, and foster good sponsorship relationships.
Required Skills:
- Ability to creatively collaborate and strategize with multiple parties.
- Detailed oriented multi-tasker.
- Event planning experience a must.
- Highly motivated communicator and coordinator.
- Sales experience helpful for obtaining sponsorships.
- Ability to think “outside of the box” – bring a theme to life.
- Project Management Experience a plus.
Ad Fed: Programs Co-Chair
- Plan and execute 3-4 Ad Fed programs per year in a varying genre or topic.
- Work in partnership with Ad2 to ensure partnership and collaboration.
- Develop and execute communication plans in conjunction with Ad Fed Communications team to ensure great promotion.
- Develop reasonable budgets for each program, manage costs and revenues to meet or exceed budget. Complete necessary forms working with Treasurer.
- Think strategically and creatively to identify program topics that pique the interest of both local and regional members and are engaging and relevant to industry trends.
- Be the main contact for Ad Fed with respect to all program speakers, moderators, and sponsors.
- Identify and obtain sponsors for all programs.
- Plan and execute day of events including catering, A/V, other miscellaneous duties.
- Leverage or partner (when possible) with other trade associations for enhanced member/event benefits.
Ad Fed: Secretary
- Oversee written notice of all Ad Fed meetings.
- Take and maintain minutes of each meeting.
- Oversee the correspondence of Ad Fed under the direction of the Board and/or the President.
- Oversee the maintenance of Ad Fed’s records.
Ad Fed: Membership Co-Chair
- Manage the CRM on a weekly basis including pulling monthly reports relating to new and expiring members.
- Proactively reach out to nonmember event attendees to grow membership base.
- Manage and have good relations with flex member contacts and agencies in the community.
- Develop new business (new members).
- Attend all events and promote membership to the event attendees.
- Develop realistic and obtainable budget for membership revenue; meet or exceed the budget.
- Partner with Communications team, Executive Director, and full organization to leverage potential leads.
- Think strategically and creatively to develop concepts for Ad Fed to add benefits to member base to commit and retain new members; propose new strategies to the Executive Committee.
- Sales experience preferred.
Ad Fed: Sponsorship Co-Chair
- Develop marketing materials that will merchandise the value of being an AdFed MN annual or event sponsor.
- Execute sponsorship sales strategy and supporting tactics that increase revenue.
- Merchandise value of existing sponsors to maximize renewal and up-sell opportunities.
- Be key contact with annual sponsors.
- Collaborate with and assist Executive Director and specific program/event chairs with developing and retaining sponsors for specific events.
- Develop realistic and obtainable budget for sponsorship revenue; meet or exceed the budget.
- Sales experience preferred.
Ad Fed: Vice President
- Check-in with Board members and committees monthly to help ensure goals are set and implemented. Help streamline process as they arise
- Designate an area of interest to work on while in the Vice President Role.
- Lead all meetings should the President be absent.
- Sit on the Executive Team

- Attend all Ad Fed Board meetings, programs, and events. Attend as many Ad 2 programs and events as possible.
